Food Service Inventory Coordinator

Position Overview:
Sodexo Live! is seeking an organized, detail-oriented Food Service Inventory Coordinator to support our food and beverage operations. This is a kitchen administrative position with no cooking responsibilities, with a strong focus on ordering, maintaining par levels, inventory management, cost control, and P&L support.
The Food Service Inventory Coordinator will be responsible for ensuring food and beverage products are ordered accurately and on time, appropriate par levels are maintained, and inventory is effectively managed to support operational demand while controlling costs and minimizing waste.
This position works closely with culinary and operations leadership to anticipate business needs and ensure adequate inventory is available across frozen, refrigerated, and dry storage areas.
Candidates must have at least 2 years of relevant experience and open availability, including the ability to work varying shifts based on business and event needs.
Key Responsibilities:
- Manage and place food and beverage orders through the designated ordering platform, ensuring timely and accurate procurement based on operational needs.
- Monitor and maintain established par levels for all food items and selected beverage products, ensuring adequate inventory is available across frozen, refrigerated, and dry storage areas.
- Review current inventory, upcoming business levels, events, and anticipated demand when determining order quantities.
- Collaborate with culinary and operations teams to anticipate demand, prevent shortages, minimize excess inventory, and support efficient inventory control practices.
- Monitor product movement and adjust ordering recommendations based on usage, business volume, and operational needs.
- Help prevent over-ordering and unnecessary product accumulation while ensuring adequate stock is available to support operations.
- Assist with receiving and verifying incoming orders for accuracy, quantity, and proper documentation.
- Communicate product shortages, substitutions, discrepancies, or other ordering concerns to appropriate leadership.
Inventory & Cost Control:
- Manage and maintain accurate food and beverage inventory records.
- Conduct regular physical inventory counts and reconcile discrepancies.
- Track product usage, transfers, waste, and inventory adjustments.
- Assist with food cost analysis and overall cost-control initiatives.
- Monitor inventory variances and identify potential causes of loss, waste, over-ordering, or excessive spending.
- Maintain accurate documentation for purchases, invoices, transfers, and inventory.
- Help ensure ordering and inventory practices align with established budgets and financial goals.
- Prepare inventory, ordering, and cost-related reports for management.
P&L & Administrative Support:
- Support P&L tracking and reporting, particularly as it relates to inventory, purchasing, food costs, and operational expenses.
- Understand how purchasing decisions, par levels, waste, and inventory variances impact overall food cost and profitability.
- Work closely with culinary leadership, purchasing, warehouse, and operations teams.
- Maintain organized administrative records and ensure information is entered accurately and on time.
- Support additional kitchen administrative functions as needed.
Qualifications:
- Minimum of 2 years of experience in food service inventory, ordering, purchasing, kitchen administration, hospitality operations, cost control, or a related role.
- Previous hands-on experience with food and beverage ordering and maintaining par levels strongly preferred.
- Strong understanding of P&L, inventory management, food cost, purchasing, and cost-control principles.
- Ability to evaluate inventory levels and operational demand to make appropriate ordering decisions.
- Previous experience working in a restaurant, hotel, catering operation, stadium, convention center, or other high-volume food and beverage environment is strongly preferred.
- Strong organizational skills and exceptional attention to detail.
- Comfortable working with ordering platforms, inventory management systems, spreadsheets, reports, and financial data.
- Ability to identify discrepancies and troubleshoot inventory and ordering issues.
- Strong communication skills and ability to collaborate across multiple departments.
- Ability to work effectively in a fast-paced, deadline-driven environment.
- Open availability is required, including nights, weekends, holidays, and event-based schedules as needed.
Important Position Details:
This is not a cooking position. The Food Service Inventory Coordinator works within and supports the kitchen/culinary operation but is primarily responsible for ordering, maintaining par levels, inventory management, P&L support, administrative functions, reporting, and cost control.
